How to Connect Smartsheet to Power BI | Part 2: Creating More Complex Visuals
Now that we've got our Smartsheet Data source imported to Power BI, it's time to build some visuals!
In Part 2 of our Power BI to Smartsheet series, Caroline demonstrates how to work with your Smartsheet data set to create more complex visuals, adjust formatting and filters, gain helpful insights from your data set, and publish the visuals for easy visibility across a team.
Make sure to watch her two use cases for using Power BI in project management: viewing projects per consultant, and projects per client!
To connect Smartsheet to Power BI, you can use the Smartsheet connector available in Power BI Desktop. Here's a step-by-step guide:
Open Power BI Desktop: Launch Power BI Desktop on your computer. If you don't have it installed, you can download it from the Microsoft website.
Get Data: In Power BI Desktop, click on the "Home" tab in the ribbon menu, and then click on "Get Data" in the "External Data" group.
Select Smartsheet Connector: In the "Get Data" window, search for "Smartsheet" in the search bar or locate it under the "Online Services" category. Click on "Smartsheet" and then click "Connect."
Authenticate: Power BI will prompt you to sign in to your Smartsheet account. Enter your credentials (email and password) and click "Sign In."
Choose Data: After successful authentication, you'll see a navigator window displaying your Smartsheet workspaces, sheets, and reports. Navigate through your Smartsheet account structure and select the data you want to import into Power BI. You can choose one or multiple sheets/reports. Click "Load" when you're ready.
Transform Data (Optional): You can perform data transformations using Power Query Editor before loading the data into Power BI. This step allows you to clean, filter, or reshape the data as needed. Click on "Transform Data" to open Power Query Editor.
Load Data: After transforming the data (if necessary), click on "Close & Load" to import the selected data into Power BI.
Visualize Data: Power BI will load the data into the data model, and you'll be directed to the report view. Here, you can create visualizations, reports, and dashboards based on your Smartsheet data.
Refresh Data: To keep your Power BI reports up to date with changes in your Smartsheet data, you can configure scheduled refreshes. Click on "Home" in the ribbon menu and then click on "Schedule Refresh" to set up automatic data refreshes.
That's it! You've successfully connected Smartsheet to Power BI, allowing you to analyze and visualize your Smartsheet data within the Power BI environment.
